Inserting a Chart in Word.

Charts are inserted into a document to give data and a visual of what is being written.  For example, if you do a price comparison between stores, a chart (bar graph) will display the numbers and a visual of what has been discovered.  In the research area, if you do a simple study, you can display your results in a chart.  Remember that a chart is only one part of a document, and is only used when it is critical to give emphasis to what is being written.

Several methonds can be used to insert a chart into Word.  A quick method is the Alt n c to bring up the "Insert Chart" dialogue box.  A second method is the move to the  "INSERT" tab of the ribbon, down arrow one time, then Tab to the "Chart" icon and tap Enter.

Try the following to develop your skills for inserting a chart into a Word document.

1.  Open Word.
2.  Type "Monthly Expenses" (without the quotes)
3.  Hit Enter two times, and then up arrow one time.
4.  Press and hold the Alt key and hit the letter n
5.  Release the Alt key.
6.  Hit the letter c
7.  Hit the Tab key one time.
8.  Use your down and up arrow keys to find the kind of chart you want to use.
9.  Hit the Tab key one time.
10.  Right arrow until you hear the specific chart you want.  If you accidentally pick the wrong type of chart, press and hold down Shift and hit Tab one time to move back to the list of choices.  Then use your down and up arrow keys to select the type you do want, and then hit Tab to move to the specific charts area, where you can use your right arrow to move to what you want.
11.  Hit Enter and wait about thirty seconds.  A small Excel area will come up and you  will be placed in cell b1, and will hear "Series 1."
12.  Type "January" (without the quotes).
13.  Hit Tab one time.
14.  Type "February" (without the quotes).
15.  Hit Tab one time.
16.  Type "March" (without the quotes).
17.  Press and hold down the Control key and hit the letter g (this is the Excel goto command)
18.  Type a2
19.  Hit Enter one time.
20.  Type "Rent" (without the quotes)
21.  Hit Enter one time.
22.  Type "Food" (without the quotes)
23.  Hit Enter one time.
24.  Type "Utilities" (without the quotes)
25.  Hit Enter one time.
26.  Type "Travel" (without the quotes)
27.  Right arrow one time.
28.  Up arrow three times to move to cell b2
29.  Type your January Rent as a number.
30.  Right arrow one time.
31.  Type your February Rent as a number.
32.  Right arrow one time.
33.  Type your March Rent as a number.
34.  Down arrow one time.
35.  Press and hold the Control key and hit the letter g
36.  Type b3
37.  Hit Enter and use the preceding steps to fill out the rest of the Excel area.
38.  Press and hold down the Alt key and hit F4 to close the Excel part and you will be in your document.
39.  Hit the down arrow key one time and you are ready to type in text.
40.  To get back into the part where you can change numbers or legend items for you chart, and you are under the chart, up arrow into the chart.
41.  Hit the Applications key one time.
42.  Down arrow to the "Edit data" menu item.
43.  Hit the Enter key one time and you will be back in the place where you can edit your numbers or legend items.
44.  When you are finished press Alt F4 to close this box and return to your document.

Ribbon Method

1.  Open Word.
2.  Type "Monthly Expenses" (without the quotes)
3.  Hit Enter two times.
4.  Hit up arrow one time.
5.  Hit the Alt key one time.
6.  Right arrow to the "INSERT" tab of the ribbon.
7.  Down arrow one time.
8.  Hit the Tab key repeatedly until you hear "Chart."
9.  Hit Enter one time and the same box you used above will appear, and you can follow the same steps for setting up your chart.
